Privacy Policy

What we collect, why we have it, who else touches it, and how to get it back or have it removed.

Who this covers

This policy describes how The Finishing Touch LLC, d/b/a FT Companies, operating as FT Companies (“FT Companies”, “we”), handles information. It covers this website and the FT Companies operations portal at app.ft-companies.com, which our staff use to quote, schedule, document, and invoice work.

Most people reading this are customers or prospective customers. The portal is not a consumer product and is not open for public sign-up; accounts exist only for FT Companies personnel.

What we collect

From you directly, when you request a bid or become a customer:

  • Name, business name, email address, phone number, and job-site address.
  • What you told us about the work — footage, scope notes, colour, and any details you send us.

Generated in the course of doing the job:

  • Quotes, jobs, invoices, and payment records — amount, method, date, and a reference.
  • Photographs and video of the work site, taken by our crews to document conditions before and after installation, along with any markup or notes added to them.
  • Records of when a quote was viewed and whether it was accepted or declined, including the date and the network address the decision came from.

What we do not collect

We do not accept, process, or store payment card numbers. No part of our system touches cardholder data. When a card is used, it is handled entirely outside our software and we record only the amount, the method, and a reference number.

We do not sell personal information, we do not share it for advertising, and we do not use it to build profiles for marketing by anyone else.

Job-site photographs

Site photographs frequently show private property, and can incidentally capture a house, a vehicle, a gate, or an access code. We treat them accordingly:

  • They are stored in private cloud storage that is not publicly readable.
  • Access is granted through short-lived links that expire, rather than permanent URLs.
  • Within FT Companies, they are visible to office staff and to the crew assigned to that job — not to every employee with an account.

They exist so that questions about the condition of a site can be answered with a record rather than a recollection. If you would prefer photographs of your property not be retained after your job closes, tell us and we will remove them.

Who else touches this data

We use a small number of service providers. They process data on our behalf, under their own terms, and are not permitted to use it for their own purposes:

  • Amazon Web Services — hosting, database, and file storage. Our data is held in the United States (US East, Ohio).
  • Intuit / QuickBooks Online — accounting. We send customer contact details, estimates, invoices, and payment records so the books stay accurate. QuickBooks is our accounting system of record; we push information into it and never pull your records back out of it.
  • Amazon Bedrock — used to summarise and rank public construction bid notices. Customer information and job-site photographs are not sent to it.
  • Resend — sends quote and invoice emails on our behalf.

We may also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim — for example, producing job-site photographs in a dispute about the condition of the work.

How long we keep it

Quotes, jobs, invoices, and payment records are business and tax records; we keep them for as long as we are required to and as long as they may be needed for a warranty question or a dispute. Job-site photographs are kept for the same reason.

Records of who accepted a quote, and when, are kept for the life of the record and are not edited after the fact. That is the point of them.

Security

The portal requires a login. Access inside it is limited by role: pay rates and payroll are restricted to office staff, and job photographs are limited to the crew assigned to that job. Actions that change records are written to an audit log that records who did what.

Data is encrypted in transit. File storage is private and reachable only through expiring links. No system is perfectly secure, and we do not claim otherwise.

Your choices

Ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Write to the address below and we will respond. Where a record has to be kept for tax or legal reasons, we will tell you that rather than quietly keeping it.

We do not sell personal information, so there is nothing to opt out of on that front.

Children

This is a commercial contracting business. Our services are not directed to children and we do not knowingly collect information from anyone under 18.

Changes and contact

If this policy changes materially we will update the date at the top of this page. Continued use of our services after a change means the updated policy applies.
